How BrainMo works with Your Data.

Prepare yourself, we’re about to get technical!

If nothing else, know that BrainMo is designed to work with your data carefully, transparently and only where it is needed to provide the features you choose to use. We do not sell personal data, use Google user data for advertising, or use it to train general-purpose AI models. You stay in control, with clear information about connected services, trusted providers, data retention and your rights.

Our approach to data.

Teachers should always understand how their information is being used and remain in control of it. BrainMo only uses data where it helps provide the features you choose, keeps access limited to what is needed, and works with trusted providers to keep the service running safely and reliably. We aim to explain everything clearly, without hiding important details behind legal language.

How BrainMo works with AI.

BrainMo uses AI to help organise timetables, understand curriculum documents, connect lesson information and power Mo, your intelligent secretary. This can make it easier to find information, update plans and see what needs your attention.

AI is useful, but it can sometimes make mistakes. Teachers remain in control and should review important suggestions or generated content before using it. BrainMo does not use Google user data to train general-purpose AI models or for advertising.

How BrainMo works with Cloud Drives.

Google Drive and OneDrive.

BrainMo can connect to Google Drive or OneDrive when you choose to bring in a timetable, curriculum document or another teaching file. We use the connection only to support the feature you are using and process the files you select. We do not scan your drive for unrelated purposes or sell Google or Microsoft user data.

You can disconnect your drive at any time through BrainMo or your Google or Microsoft account. Once disconnected, BrainMo will no longer use that connection to access new files. Information already processed may remain where it is needed to provide the service or meet our retention and security responsibilities.

Google API Limited Use.

BrainMo’s use of information received through Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. Google user data is only used to provide or improve the BrainMo features you choose to use. It is not sold, used for advertising or used to train general-purpose AI models.

How BrainMo Handles and Protects Your Data.

BrainMo uses information to run the product, personalise your experience, process the files you choose to upload and provide support when you need it. This may include account details, school information, timetables, curriculum content, notes, uploaded files and the technical information needed to keep the service working.

We use safeguards designed to protect data and limit access to the people and systems that genuinely need it. No online service can promise absolute security, but we work carefully to reduce unnecessary risk and handle information responsibly.

Teachers should avoid uploading identifiable pupil or confidential school information unless they are authorised to do so and it is genuinely needed. Where BrainMo is being used through a school or trust, that organisation may be responsible for deciding how some of the data is used.

Reporting a security concern.

If you believe you have found a security issue, contact hello@brainmo.com and share as much detail as you safely can. Please do not attempt to access or test information that does not belong to you.

Your Data Rights and Retention.

Depending on the circumstances, you may be able to ask what personal data BrainMo holds about you, correct inaccurate information, receive a copy of your data, restrict certain uses or request deletion. To make a request, contact hello@brainmo.com and provide enough information for us to identify your account and understand what you need.

We keep personal data and uploaded content only for as long as it is needed to provide BrainMo, keep the service secure, resolve issues or meet legal and contractual responsibilities. Some temporary files may be removed shortly after processing, while other information may remain while your account is active. Certain records may need to be kept for legal, security, accounting or audit reasons.

Where a school, trust or other education organisation controls the data, we may need to refer your request to them or act according to their instructions.

Trusted Service Providers.

BrainMo works with a small number of trusted technology partners to help keep the product running smoothly, securely and reliably. These partners may support areas such as hosting, file storage, AI features, cloud connections, customer support and error monitoring.

We choose providers carefully and only allow them to process the information needed to deliver their specific service. They do not receive unrestricted access to your data and cannot use it for unrelated purposes. Schools and trusts can contact us for more detailed information about the providers involved.
